I've coached hundreds of people on their knowledge systems, and the pattern is always the same. ↓
They don't fail because their system is too simple. They fail because they built 47 tags, 12 databases, and a colour-coded status field for everything.
All you actually need is what I call a Minimum Viable Knowledge System where you just manage five things:
Tasks — what you need to do and when it's due
Projects — what you're working on and why it matters
People — who you work with and what you're doing together
Meetings — what was discussed and what was decided
Notes — your thinking, ideas, and reference material
The beauty of this is that you can use any tool that you like as long as AI can work with it.
